Between the Rooms
App Privacy Policy

Between the Rooms is a self-reflection app from The Inner Room Collective. It lets you save journal reflections, questions to explore in therapy, coping skills, and appointment reminders. This policy describes the app; it does not replace our practice’s separate notice of privacy practices or the terms for psychotherapy services.
Delete your Between the Rooms account
You can delete your account from the app: sign in, open Privacy, and select Delete my account. This removes the sign-in account and its current cloud content and clears the encrypted copy on the device where you do it. If the app says deletion did not finish, please contact us so we can complete your request.
If you cannot use the app, email natalene@innerroomcollective.com from the email address used for your Between the Rooms account with the subject Delete my Between the Rooms account. We will confirm your identity through your account email before acting. Never send your password or journal text.
Deleting the app from your device alone does not delete your cloud account. The Retention and deletion section below explains how other device copies and backups are handled.
What the app collects
When you create an account, the app uses your email address, password-based account credentials, and email-verification status through Google Firebase Authentication / Identity Platform. The app does not store your password in its journal data. If you enter reflections, curiosities, coping skills, or appointment details, the app saves that content for your account. The app stores the date and time of entries and an internal account identifier so it can find your content on another device. The current app does not include an advertising or analytics SDK; the services needed for sign-in, storage, and app distribution may process technical service data under their own terms.
Why and where the data is processed
We use account data to sign you in, send verification and password reset messages, keep your content tied to your account, and let you access it on another device. Content is stored in Google Cloud Firestore and in an encrypted copy on each device where you use the app. Google processes this information as a service provider under our applicable agreements. Cloud data is encrypted by Google at rest, but it is not end-to-end encrypted: authorized project administrators may be technically able to access it. We do not automatically send your journal entries to your therapist, use them for advertising, or monitor them for urgent concerns.
Notifications and external links
If you turn on appointment reminders, your device schedules a generic notification. Its visible text does not include your appointment label, address, therapist, or journal content. Notifications and their timing depend on your device settings. The app also contains a link to The Inner Room Collective website, which may have different privacy practices.
Retention and deletion
Your account content remains available while your account exists unless you delete your account or clear its saved content. We do not treat app entries as part of your therapy record solely because you use the app, and we do not apply a separate clinical-record retention period to those entries. In the app, Privacy → Delete this account’s saved data clears the current cloud content while keeping the sign-in account.
Deleting current cloud content does not immediately remove it from existing backups. As of September 28, 2026, we schedule daily Firestore backups that expire after seven days. We do not individually remove an account’s content from an existing database backup, and we do not restore content that you requested be deleted. Point-in-time recovery is off, although recent earlier document versions may remain recoverable for up to one hour. After content is no longer recoverable by us, Google removes it from its systems according to its data-processing terms, subject to applicable-law exceptions.
Older entries saved before accounts were introduced may remain in a separate file on the original device; they are not automatically uploaded or removed by deleting a new account. Copies previously saved on another device may remain encrypted on that device until removed there. The current Android app configuration disables Android’s automatic app-data backup. Contact us if you need help with deletion from another device or have questions about a specific request.
Security and choices
An email address must be verified before accessing synced content. Access to a cloud document is restricted to the matching account under the app’s Firestore rules, subject to privileged administrator access. You can sign out, turn notifications off, clear saved content, or request account deletion. Please contact us at the address below about any privacy concern.
Clinical and urgent support
Between the Rooms is a personal reflection tool. It is not monitored by clinicians, is not a substitute for therapy or emergency care, and should not be used to request urgent help. In an emergency, contact local emergency services.
