Between the Rooms — Consumer Terms of Use

These Terms of Use ("Terms") govern your use of Between the Rooms (the "App"), provided by The Inner Room Collective Inc. ("we," "us," or "our"). By creating an account or using the App, you agree to these Terms. If you do not agree, do not use the App.
1. What the App does
The App is a personal reflection tool. It offers journal prompts and space to save reflections, questions or topics you may wish to discuss in therapy, coping skills, and appointment details you enter yourself. You may choose to turn on reminders scheduled on your device. An appointment entered in the App is not a booked or confirmed appointment with a therapist, and an App reminder does not replace a reminder from your provider.
The App is not a patient portal, a way to message a clinician, a medical record, or an emergency response service. Content you enter is not automatically sent to your therapist or added to your therapy record. Your therapist does not monitor your entries or respond through the App. You decide whether to share an entry with a clinician by another means.
2. Not clinical or emergency care
App prompts and other content are for general reflection. They are not individualized diagnosis, treatment, medical advice, or a substitute for professional care. Use of the App alone does not establish a therapist-client relationship or change any existing treatment relationship. If you are already a client of The Inner Room Collective Inc., your clinical services remain governed by your separate treatment documents and applicable privacy notices.
Do not use the App to request urgent help. No one monitors entries for safety concerns. If you or someone else is in immediate danger, call 911 or your local emergency number. In the United States, you can also call or text 988 for crisis support.
3. Accounts and access
You must be at least 18 years old to use the App. Provide an email address you control, keep your password private, and tell us promptly if you believe your account has been accessed without permission. You are responsible for activity on your account to the extent permitted by law. Please use a screen lock on each device where you sign in; someone with access to your unlocked device while you are signed in may be able to see your entries.
You must verify your email address before using the account's saved space. You may not access someone else's account, interfere with the App or its security, or use the App unlawfully.
4. Stored Entries and Access
Between the Rooms stores the reflections and other information you save in your account using Google Firebase so you can access them across devices. Your entries are not automatically sent to your therapist or added to your therapy record. Although access within the app is restricted to your account, authorized administrators of The Inner Room Collective Inc. may have the technical ability to access information stored in the Firebase project. We limit administrative access to legitimate purposes, such as maintaining the service, addressing a security issue, or complying with law. Please see our Privacy Policy for details about how we protect, retain, and delete your information.
5. Your content and privacy
You retain your rights in the content you enter. You give us permission to store, transmit, and process that content only as needed to operate, secure, maintain, and provide the App, fulfill your requests, and comply with applicable law. You are responsible for deciding what you enter. Please avoid entering another person's sensitive information unless you have an appropriate reason and authority to do so.
Your saved reflections, curiosities, appointments, and coping skills sync through Google Firebase Cloud Firestore under your account and are also kept in an encrypted file on each device where you use the App. The cloud content is protected in transit and at rest by Google, but the App does not provide end-to-end encryption of its cloud copy. Access in the App is restricted by account-based rules; authorized administrators of The Inner Room Collective Inc. may have the technical ability to access information stored in the Firebase project. Administrative access is limited to legitimate purposes, such as maintaining the service, addressing a security issue, or complying with law. Your content is not automatically sent to your therapist.
Our separate Between the Rooms App Privacy Policy explains what we collect, how we use and protect it, how long it may be kept, and how to request deletion. If a law gives you additional rights, these Terms do not take those rights away. If the App is used in a way that makes information protected health information under HIPAA or another applicable law, our legal responsibilities under that law still apply.
6. Sync, reminders, and availability
The current App needs an internet connection to open and save your account space. Sync can fail or be delayed. If the App reports a save or sync error, follow its instructions and do not assume that a recent change reached the cloud. Changes made on different devices can conflict. Keep the App installed and contact us if it reports a conflict or unresolved save error. Notification delivery and timing depend on your device, permissions, and operating system; we cannot guarantee that a reminder will arrive.
We may maintain, update, or temporarily interrupt the App. We will use reasonable care in operating it but cannot promise uninterrupted availability or that it will meet every individual need. Nothing in this section reduces any security, privacy, or other duty imposed on us by law.
7. Deleting content or your account
The App provides controls to clear an account's saved content or delete the account. Clearing content keeps the sign-in account; deleting the account attempts to remove the sign-in account and its synced content. These actions also remove the encrypted copy on the device where you initiate them. They may not remove older, unassigned test entries on that device or copies previously saved on another device. If an attempt fails or you cannot access the App, contact natalene@innerroomcollective.com. Do not send your password or journal entries in an ordinary email.
Deleting the App from a device does not, by itself, delete your cloud account. Provider backups and legally required records may be handled on different schedules, as explained in the Privacy Policy. We will review deletion requests and handle them as required by applicable law.
8. Outside services and links
The App uses Google Firebase for sign-in and cloud storage and may link to The Inner Room Collective website. Those services and websites have their own terms and privacy practices. We remain responsible for our obligations concerning information we collect and the service providers we choose.
9. Changes to these Terms or the App
We may update these Terms as the App changes. We will post an updated effective date and provide additional notice where required by law. Changes will apply prospectively unless applicable law permits otherwise. If you do not accept revised Terms, stop using the App and request account deletion if you wish.
10. Responsibility and limits of liability
The App is offered as a self-directed reflection and organization tool. It is not monitored for emergencies and does not provide clinical care, confirm appointments, or guarantee delivery of reminders. You are responsible for seeking appropriate professional or emergency help and for confirming your appointments directly with your provider. To the fullest extent permitted by applicable law, The Inner Room Collective Inc. is not liable for decisions you make based on App prompts, missed reminders, interruptions or sync failures outside our reasonable control, or information you choose to share outside the App.
Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited, or waives your privacy, security, consumer, or health-information rights. These Terms do not excuse us from reasonable safeguards or our obligations under applicable law.
11. Applicable law and contact
These Terms are governed by California law, except where another applicable law gives you rights that cannot be waived. Questions about the App or these Terms may be sent to natalene@innerroomcollective.com. Please do not include sensitive reflections, diagnoses, or passwords in an ordinary email.
